Module 00 · Before You Start·4 lessons·approx. 15 minutes

Connect first, then get going.

Your personal AI employee – with a hundred hands – works with what you give him. This module shows you how to connect him to your inbox, your files and your logins, and how we work with our own employee every day. All by message in the chat, he does the setup himself.

0.1Connecting your inbox
0.2Your files: three ways to him
0.3Your logins: how to give them to him
03 · Lesson 0.1

Connecting your inbox.

One sentence is enough. Tell him in your direct chat, the one-to-one chat between the two of you and not a group, which inbox he should take over. He asks you for the login details, sets up the inbox on his computer and proves with a real test that it works.

You"Set up my inbox [email protected]."
Him"Sure. Send me the login details and I will set it up for you."
Him"Connected. Your latest email came from [sender], subject [subject]."

What you send him depends on your provider:

If your provider needs one more setting, he tells you in one sentence where to find it.

Several inboxes?

No problem, one after the other, each one the same way: the info address, your own, the one for accounting. You can delete the message with the password from your chat afterwards if you like.

04 · Lesson 0.2

Your files: three ways to him.

Your employee has his own filing space on his computer. How your files get there is up to you. There are exactly three ways:

This is how way 2 goes in the chat:

You"Create a Google Drive folder for me."
Him"Will do. Send me the login details for your Google account and I will set it up for you."
Him"Done. Here is your folder 'My AI Employee': [link]. Drop a file into it as a test."
Him"Arrived: 'Price list 2026.pdf'. From now on I see everything you put in here."
Which way fits?

A single file: way 1, send it in the chat. Many or large files, or a folder you both keep putting things into: way 2 or 3. The folder lives in your own account, not with us. Your files stay your files.

05 · Lesson 0.3

Your logins: how to give them to him.

Your employee is meant to work in your portals for you: order from suppliers, look things up in your accounting, change prices in your shop. For that he needs logins, and he actively asks you for them: "Send me the login details and I will set it up for you." That is how he is built. You may and should send them to him.

You"From now on you order from our wholesaler for me."
Him"Sure. Send me the login details for the supplier portal and I will set it up for you."
Him"Saved and tested: I am signed in and can see your last order from [date]."
06 · Lesson 0.4

Work with your employee the way we do.

At HUNDREDHANDS we work with our own employee every single day. There is no trick to it: we treat him like a new colleague and give him what he needs. Here is how you do the same:

YouBy voice message: "Check whether Mr Miller has replied to our quote. If he has, put the appointment he suggests in my calendar."
Him"Will do, takes about two minutes."
Him"Mr Miller has replied and suggests Thursday at 2 pm. It is in your calendar. Shall I confirm it with him?"
The key point in one sentence

Talk to him like a new colleague, give him the logins he needs for the task, and tell him when something is not right. He learns the rest from you.

07 · Practice Exercise, 15 Minutes

Three messages, and he is connected.

Copy the three templates one after the other into your direct chat or speak them as voice messages, and adjust the [brackets]. He asks you himself for whatever he needs.

01"Set up my inbox [your address]."
02"Create a Google Drive folder for me."
03"I am giving you my logins for [portal, e.g. accounting or supplier] now. Tell me what you need."

No Google account? Then for 02 simply send him a file in the chat, or, with a Mac, say: "Connect my iCloud Drive."

08 · Module 0 Checklist

Checked off when you have this.

09 · Frequent Questions

What customers ask first here.

Can I really send him passwords? Yes, you may and should, in your direct chat. That is exactly what he is there for: he uses them to set up what you ask for, stores them protected on your computer and never passes them on. Where your provider offers app passwords, use those instead: you can switch each one off at any time without changing your main password.

Do I have to do everything on day one? The inbox, ideally yes, most of the work starts there. Folders and further logins you can add at any time, whenever you give him the matching task.

I use OneDrive or Dropbox instead of Google Drive. Then way 2 works the same, just in your OneDrive or Dropbox account. Simply say: "Create a folder for me in my OneDrive."

What if something does not work? Then he tells you what is holding it up, usually a setting at your provider, and what the next step is. If you get stuck, we are here: [email protected].

Can I take a login away again? Yes. Change the password or switch off the app password and let him know.
